Who we are

My Key Guide is a service of Seeking Awesome, LLC, a Texas limited liability company. It gives a real estate agent a way to hand their buyer a private, organised guide to the steps between contract and keys. This policy explains what we collect, why, and who else ever sees it.

Who the people on this service are

Three kinds of people appear here, and what we hold differs for each:

  • Agents and brokers create an account and invite their own clients.
  • Buyers do not create an account. An agent adds them, and they open their guide through a private link.
  • Vendors — lenders, inspectors, title companies, insurance agents — are invited by an agent or take part in our referral program. Some vendors also create an account to sign in and see the leads sent to them.

What we collect

From agents and brokers: name, email address, phone number, a separate phone number you choose to show buyers, a profile photo, your role, and your brokerage or personal branding. Sign-in is handled by Clerk; if you use Google to sign in we receive your name and email address from Google, never your password.

About buyers, entered by their agent: name, email address, phone number, and optionally a home address. If a purchase is under contract we also hold the property address and county, the closing date, the option period end date, the effective date, any financing approval date, and basic property facts such as whether it has an HOA, pool, septic, or well, or sits in a flood zone.

As the guide is used: which checklist items have been completed or skipped, who completed them and when, any deadlines set, which vendors a buyer has asked to be introduced to, and — once a purchase closes — any review a buyer leaves about a vendor: a rating, and an optional written note. We also keep a record of the emails we send so we can tell whether a message was delivered.

From vendors: business name, contact name, email address, phone number, the counties they serve, and whether they are an affiliated business. A vendor with an account also has sign-in credentials, handled by Clerk the same way an agent’s are.

How buyers get in without an account

A buyer’s guide opens through a private link containing a secret token. We store only a hashed form of that token, never the link itself. Tokens expire, and an agent resending an invitation revokes every earlier link for that buyer. Anyone holding a live link can open that guide, so it should be treated like a password and not forwarded.

When we share information

With vendors a buyer asks to be introduced to. This is the sharing that matters most, and it never happens automatically. When a buyer taps to request an introduction, and only then, we send that vendor the buyer’s name and contact details, the property county, the closing timeline, and the identity of the referring agent. Introductions are not exclusive: more than one vendor in a category may receive the same request. We record when the buyer consented.

Vendors that share an owner with My Key Guide. Some vendors in our program may share an owner with My Key Guide. They are labeled as such wherever they appear, follow the same rules as every other vendor, and are never a condition of using the guide. They receive your information the same way any vendor does: only when you ask for an introduction.

With other buyers, if you leave a review. A rating you leave becomes a number shown on that vendor’s referral cards to other buyers, and is counted into that vendor’s overall standing in our program — without your name attached to it anywhere. An optional written note that comes with the review is shown the same way. You can ask to have a written note removed (see “Your rights” below); the numeric rating itself is kept as part of the vendor’s record even if the note that came with it is removed, the same way it would be if you simply chose not to write one.

With the agent and brokerage. A buyer’s agent sees their guide and its activity. That is the point of the product.

With the companies that run the service for us. We use Vercel for hosting, Supabase for the database, Clerk for sign-in, Resend for the email we send you, and Google if you sign in with a Google account. They process this information on our instructions in order to operate the service.

We do not sell personal information, and we do not share it for advertising.

Choosing what reaches you

Agents can choose, from their own account, whether to be notified as things happen, once a day, or both. For buyers, an agent sets that same choice for email when they add you. What it controls: a short note when something happens on your guide (or a daily summary of the day’s activity instead, if that is how your agent set things up), a reminder in the days before something on your checklist is due, and — once your purchase closes — one note inviting you to rate the professionals who helped you. We do not send a reminder just because you have not opened something.

Buyers can withdraw consent to be contacted this way. There is no in-app toggle for this today — write to admin@seekingawesome.com (you or your agent, on your behalf) and ask us to stop; we record when consent was given and withdrawn, and every buyer-facing email we send names this address for exactly that purpose. Some messages are not optional while an account is active — an invitation to open a guide, for instance — because without them the service does not function.

Text messages

Text messages are optional. There is one opt-in, asked when you open your guide, and only you can give it — an agent cannot turn on texts for you. We text you only if you opted in yourself.

What the opt-in covers. During your purchase: closing reminders, deadline countdowns, and updates sent on your agent’s behalf. After closing: a note asking you to rate the pros who helped, occasional seasonal reminders, and post-closing assistance finding trusted professionals when you need home services. Some of the after-closing messages are promotional, and the opt-in says so. Message frequency varies; about two a month after closing.

Email is separate. Email about your closing comes either way. After closing we also email buyers who used a guide about the same things, without a separate opt-in; every one of those emails carries an unsubscribe link, and one click ends them.

For texts: message and data rates may apply; reply STOP to end texts and HELP for help; agreeing is never a condition of buying a home or using this guide. We record when you consented and when you withdrew. Your mobile number and your text-message consent will not be sold or shared with third parties or affiliates for their own marketing. A vendor receives your number only when you ask to be introduced to them (see “When we share information” above).

Keeping it, and deleting it

We keep information for as long as the agent relationship it belongs to is active, and afterwards only as long as needed to meet legal and record-keeping obligations. A buyer who wants their information removed can ask their agent or write to us directly; an agent who closes their account can ask us to delete the records they created. Write to admin@seekingawesome.com and we will respond.

Your rights

If you live in Texas, you can ask what personal information we hold about you, ask us to correct it, ask for a copy of it in a usable format, or ask us to delete it. Write to admin@seekingawesome.com and tell us what you’d like. We will not treat you differently for asking.

There is no account, button, or online form for this today — a person reads every request, verifies who is asking (we will not act on a request we cannot confirm is really from you), and responds directly. For a request to delete a buyer’s information: we replace the identifying details with a placeholder and revoke your guide link immediately, but we do not delete the transaction record itself or a rating you left — see “When we share information” above for why a rating is kept, and “Keeping it, and deleting it” above for how long records are otherwise held. If you are not satisfied with our response, write again and ask us to reconsider.

Security

Access is scoped per account: an agent cannot read another agent’s clients, a broker cannot read the client records of agents in their office, and a vendor with an account sees only the leads sent to them. Buyer links are stored hashed and expire. Email is authenticated so recipients can verify it genuinely came from us. No system is perfect, and we will tell you if something material goes wrong.

Not for children

This service is for adults engaged in a real estate transaction. We do not knowingly collect information from anyone under 18.

Changes

If we change what we collect or who receives it, we will update this page and change the date at the top.
